Employees & PINs

PINs are never shown after creation and are never returned by the server. New employees receive an invitation; they set their own PIN via activation.

Timecards

Tap an employee name to open Employee Detail. For creating or editing a shift, use Manual Shifts. For submitting/approving a timesheet, use Timesheet Approvals. Edits require a reason and preserve the original record; approved or payroll-processed shifts must be reopened first.

Manual Shifts

Manager / administrator only (payroll is read-only). The server enforces your assigned stores — this panel only hides controls for usability. Every creation and edit requires a reason and is audit-logged with before/after values; view the history under a shift below and in Audit Log.

Timesheet Approvals

Manager / administrator only (payroll is read-only). Approve sends the period's closed shifts to approved status for payroll. Reject and Reopen both require a reason, shown to the employee. A reopened timesheet goes back to the employee, who can submit it again. Payroll-processed shifts themselves are locked: reopen the individual shift in Manual Shifts before editing it.

Adjustment Approvals

Manager / administrator only (payroll is read-only). Before = the shift as it stands now; After = the shift with the employee's requested changes applied (shown for review only). Approving records the decision; it does not rewrite the shift by itself — use “Apply approved change” to open the audited shift edit with those values prefilled. Rejection requires a reason; the employee can then resubmit.

Decisions are reversible: an Approved or Denied request can be returned to Pending.

Audit Log

Append-only. There is no delete or edit action for audit entries.

Settings / Policies

Payroll estimates are labelled ESTIMATE. Jurisdiction (AB / ON / other) is required by policy — if it is missing or ambiguous the server flags policy review instead of silently applying one province's rules.
